ADMINISTRATIVE ASSISTANT III
Utilities Department 

The role of Administrative Assistant III in Salina, Kansas, is pivotal in ensuring the seamless operations of the Utilities Department. Tasked with duties that cover a spectrum of complex secretarial responsibilities, this position demands a high degree of discretion & decision-making, providing a platform for independent action. This role is integral to supporting Salina’s community, bringing with it the excitement of a dynamic work environment along with contributing to the effectiveness & responsiveness of Utilities services offered to the Salina community.

On-the-Job Training: 
Experienced staff will guide our new Administrative Assistant III through the department's complex workflows & procedures, ensuring a thorough understanding from day one. This hands-on training environment allows our employee to gain valuable insights & skills essential for mastering administrative tasks, decision-making processes, & equipping our employee with the tools needed to excel. This commitment to training ensures our next Administrative Assistant III becomes an integral asset to both the Utilities department & the Salina community. 

Duties:
· Performs a wide variety of complex secretarial duties for a department or division head.
· Assists in department procedures in keeping financial, personnel & operational records.
· Processes confidential information regarding personnel, operations & proposed actions.
· Keeps & maintains department files.
· Composes & types correspondence to include reports, charts & graphics.
· Prepares tabulations & summaries.
· Assists in preparation for meetings & hearings.
· May take & transcribe minutes of proceedings; transcribes from a recording.
· Processes accounts payable, payroll, financial & operational records; reconciles credit card statements; maintains departmental timecards.
· Prepares & mails bills & notices; handles office mail.
· Schedules appointments & use of facilities.
· Screens office & phone calls to monitor quality of customer service; contact with employees & public is frequent.
· Maintains & accounts for materials & supplies; posts & reconciles inventories.
· Trains new co-workers; supervises small clerical staff.
· Aids in emergency & storm related activities; may operate two-way radio.

Education:
· High school diploma or G.E.D.

Experience:
· Courses in typing, bookkeeping, computer & other clerical functions.
· Four (4) years of progressively responsible clerical work.

Work Type:  
· Light, exerting up to 20 pounds of force occasionally, and/or up to 10 pounds frequently, and/or a negligible amount of force constantly to move objects.

Equipment:
· Adding machine, calculator, computer, copy machine, fax machine, telephone, two-way radio, & typewriter.

Hours:
· Monday – Friday.
· 8:00 a.m. to 5:00 p.m.

Starting Pay DOQ EOE:
· $18.80-19.79/hr.
· $39,104-41,163/yr.
· Additional $1.50/hour paid for hours worked after 6:00 p.m. & before 6:00 a.m.

Paid Time Off:
· 48 hours of vacation available upon hire; additional 48 hours earned during the year (96 hours in first year).
· 96 hours of sick leave during first year.
